Official business email is an email address that ends with your company's domain, such as sales@company.com, instead of a free address like company@gmail.com. That small difference at the end of the address changes how a customer sees your message before they read its first line.

This guide is written for business owners in Egypt, Saudi Arabia and the Gulf. You'll learn exactly what official email is, why it matters to your customers, what you need to get it, how much it costs, and the most common mistakes companies make when they start.

What is an official email?

An official email (also called a business email or professional email) is any email address built on a domain your company owns. The domain is your company's name on the internet, such as company.com or company.sa, and it's the same name used for your website, if you have one.

The parts of the address: mailbox name + @ + domain

Every official address has three parts:

PartExampleWho decides it?
Mailbox namesalesYou, based on the department or employee
The sign@The same in every address
Domaincompany.comYour company name, registered once and renewed yearly

The most important part is the domain, because it's a company asset, just like your trademark. You can create dozens of addresses on it, such as info, sales and ahmed, all carrying the same name and all under your control.

Why does your company need an official email?

The value of official email isn't just about appearances. Here are five practical reasons companies switch to it:

1. Customer trust from the first message. When a quote arrives from sales@company.com, the customer knows immediately who sent it and feels reassured they're dealing with a real business. The same quote from a free address with a random number raises questions and may be treated as a scam.

2. One identity for the whole team. When every employee writes to customers from an address on the same domain, the company looks like one organized entity instead of a scattered collection of personal accounts.

3. Ownership and continuity. The accounts belong to the company, not the employees. If an employee leaves, you change the password or forward their messages to a colleague, so no customer or past correspondence is lost.

4. Better inbox delivery. Your own domain lets you set up sender authentication records (SPF, DKIM and DMARC), which services such as Gmail rely on to confirm a message really comes from your company. Google lists these records in its official sender guidelines. Authentication doesn't always guarantee inbox delivery, but it's a basic requirement for it.

5. Organized departments. An address for each department, such as support for help and billing for invoices, gets messages to the right person, and makes it easy to hand over responsibility between employees without the address changing for the customer.

Official business email vs. free email

Here's a quick comparison between official business email and a free Gmail or Outlook address:

CriterionOfficial email name@company.comFree email company@gmail.com

Honestly, free email is enough if you work alone and are still testing your idea. But as soon as you write to customers or add an employee, official email becomes the logical choice. We go into more detail in our article on the difference between official and free email.

What do you need to get an official email?

First: a domain with your company name

The domain is the starting point. If you don't have one, choose a short name that's easy to type and matches your company name, and see our tips on choosing a domain with your company name. If you already have a domain with your website on it, you don't need to move it: Already have a domain? Your website stays where it is and email works on the same name.

Second: an email hosting service

A domain alone doesn't receive messages; you need a service that hosts the mailboxes. These are the most common options:

Each option has its strengths, and the best fit depends on the size of your team and the payment methods available to you. We compare them in detail in our comparison of business email providers, and sum up the decision criteria in how to choose business email.

Third: DNS settings, simply explained

DNS records are the instructions that tell the internet where your domain's mail goes and who is allowed to send in its name:

  • MX: specifies the server that receives your domain's mail.

  • SPF: a list of the servers allowed to send in your company's name.

  • DKIM: a digital signature proving the message wasn't altered on the way.

  • DMARC: a policy telling receiving servers what to do with forged messages that impersonate you.

These records are recommended in the NIST SP 800-177 guide to trustworthy email, and we explain them further in business email protection.

Examples of official addresses by department and role

Some mailbox names have become a widely accepted convention, documented in RFC 2142, the standard for role mailbox names:

  • info@company.com: for general inquiries, and the right address for your website and business cards. See creating an info email.

  • sales@company.com: for quotes and purchase requests.

  • support@company.com: for customer service and technical support.

  • billing@company.com: for invoices and payments.

  • ahmed.hassan@company.com: a personal format for each employee (firstname.lastname).

It's best to combine the two types: department addresses that stay fixed, and a personal address for each employee. Our guide to creating email accounts for company employees shows how to organize them.

Where do you read your official email?

One of the questions we hear most is: "Will I need to learn a new program?" The answer is no. Official email works on the same standards as every other mail service, so you can open it from:

  • Your phone: the mail app on iPhone or Android, or the Gmail app itself after adding your official account to it.

  • Your computer: Outlook or any mail program you prefer.

  • Your browser: webmail you can open from any device without installing anything.

After setup, you'll find each device's settings ready in your account, and for iPhone there's a configuration profile that adds the email in one step. From the same account you manage your mailboxes yourself: add a new mailbox, change passwords, and set up forwarding or an auto-reply for vacations.

How much does official email cost?

Official email with Emailat is a yearly subscription based on the number of mailboxes: one price for the first mailbox and a lower price for each additional one. At the time of writing, prices start at 1,500 EGP per year for the first mailbox (or US$26), and each additional mailbox is 400 EGP per year (or US$7). That includes 5 GB of storage per mailbox and protection from spam and viruses.

If you already have a domain, the price is lower, because you don't need a new domain registered. You'll always find up-to-date prices in your currency on the official email plans page, and we explain what affects the price in our article on business email prices.

How to get an official email with Emailat in 3 steps

  1. Type your company name: on the home page, and see the address available to you before you pay anything.

  2. Choose the number of mailboxes and pay online: by card, mobile wallet or Fawry, and get an invoice with every order.

  3. Name your mailboxes and get started: we set up the email automatically, and you get a WhatsApp message as soon as it's ready.

Frequently asked questions

What's the difference between an official email and a regular Gmail address?

An official email ends with your company's domain, such as sales@company.com. You own the address, control all the accounts and add staff under the same identity. A regular Gmail address ends with gmail.com, the account is registered to one person, and it doesn't prove to the customer that the message really comes from your company.

Do I need a website to create an official email?

No. An official email only needs a domain, not a website. You can register a domain with your company name and run email on it from day one, then add a website later whenever you like. And if you already have a website, it stays where it is and the email works on the same domain.

Can I create an official email for free?

There are limited free options, but they usually lack support, storage or sender authentication, and you still need a paid domain in any case. We explain the options in detail in our article Can You Get a Business Email for Free?

Can I open my official email on my phone and in Outlook?

Yes. Official email works on iPhone, Android, Outlook and in the browser. After setup you'll find each device's settings ready in your account, and for iPhone there's a configuration profile that adds the email in one tap.

How long does it take to set up an official email?

With a new domain, the email is set up automatically within minutes of payment; you follow the progress on screen and get a WhatsApp message when it's ready. With a domain you already own, the email starts working as soon as the domain records are connected.

Do I keep my domain and email addresses if I change providers?

The domain belongs to your company, and the address itself stays with you wherever you go, because it's tied to the domain, not the provider. When you move, you transfer your old messages to the new provider and update the domain records, and customers keep writing to you at the same addresses.
